Residential Camp Fees

Registration Fee = $20-$35 depending on Payment Option selected. This is a one-time fee charged for every camper registered. It is non-refundable and generally, is not covered by Scholarship Awards.

Residential Camp Fee = $300 per week attended for Weeks 1-4 and 6; $400 for Week 5.

Residential Camp Required Deposit = $60 per week of camp registered. The Deposit holds your child’s spot in the selected camp. It is part of the Residential Camp Fee. For example: If you register for 1 week of camp, you are required to pay the Registration Fee of $20 and the Deposit of $60 up front. The remaining balance due before camp starts would be $240. Generally, the Deposit is not refundable. 

**Multi-Camp Discount** = Phoebe Needles Center, Inc. is not offering a multi-camp discount this year. Instead, this “discount” is being diverted to Scholarship requests. Any family needing financial assistance to help cover camp fees is ENCOURAGED TO APPLY FOR SCHOLARSHIP. The purpose of this change is to simplify our accounting processes, as well as to allow us to more accurately account for our financial assistance programs.

Day Camp Fees

Day Camp Fee = $150 per week attended for Weeks 1-4 and 6; $165 for Week 5.

Day Camp Required Deposit = $30 per week of camp registered. The Deposit holds your child’s spot in the selected camp. It is part of the Day Camp Fee. For example: If you register for 1 week of camp, you are required to pay the Registration Fee of $20 and the Deposit of $30 up front. The remaining balance due before camp starts would be $120. Generally, the Deposit is not refunable. 

Discounts

(Residential & Day Camps)

Early Bird Discount = This discount is only available if you pay 100% of your child’s camp fees up front by midnight on May 31, 2025. The amount of the discount is 15%. For example: If you register for 6 weeks of camp up front totaling $1900, your discount would be $285. Therefore, you would pay a $20 Registration Fee and Camp Fees of $1615 for a total of $1635.

Bring-A-NEW-Friend Discount = The amount of this discount is $25 per NEW friend, and both you and the NEW friend receive the discount. A NEW friend is a NEW camper who has never been to RESIDENTIAL CAMP at Phoebe Needles before. Restrictions Apply – Siblings are not eligible for this discount. The NEW camper must be from a different family that is NEW to Phoebe Needles Center Inc.’s Residential Camp program.

 

Scholarships & Financial Aid

Phoebe Needles Center, Inc. works tirelessly throughout the year to raise funds (through fundraisers, donor solicitations, and grant requests) to help keep camp costs down for our camp families. When possible, we also rely on our camp families to help defray their own costs by reaching out to others in their community for assistance. This includes family members, friends, their church family, and other community organizations. If you are applying for scholarship from Phoebe Needles Center, Inc. we encourage you to also reach out to others within your community for assistance. By taking the time to do this, you will allow us to serve as many children as possible with our available scholarship dollars.

It is the vision of Phoebe Needles Center, Inc. that no child wanting a week of camp is turned away due to an inability to pay. 

ABOUT REFUNDS:

In general, Registration Fees ($20-35) and Camp Deposits ($30-$60 per camp week depending on camps selected) are not refundable. Any amount paid over the registration and deposit fees, collectively, is refundable. We do not process refunds until after the camp season closes on August 1st. Any balance to be refunded will be refunded via check and mailed by   August 31st.

Payment Methods Accepted

Phoebe Needles Center, Inc. accepts Cash, Checks, Money Orders, and Debit/Credit Cards for payment.

Cash payments should be made in person at our office located at 732 Turners Creek Road, Callaway, VA 24067 so that you get a RECEIPT.

Check or Money Order payments can be mailed to: Phoebe Needles Center, Inc.,  732 Turners Creek Road, Callaway, VA 24067 OR left in the DROPBOX located outside our office doors. All Checks or Money Orders should be made payable to PHOEBE NEEDLES CENTER, INC. The fee for a Returned Check is $30.

Debit/Credit Card payments are accepted online via the “Pay Your Invoice” Button.

Payment Options & Plans

OPTION 1: PAY IN FULL INCLUDING A DONATION – It costs Phoebe Needles Center, Inc. approximately $1200 to provide one week of residential camp to one camper. However, to keep camp affordable for all families, we only charge $300 -$400 per week. (Day Camp costs approximately $600 per camper, but we only charge $150-$165.) By selecting this option, you are agreeing to pay camp fees in full up front, plus an additional amount that will be considered as a Donation to Phoebe Needles Center’s Summer Camp Fund, allowing us to give more financial assistance to families in need. If you are able to pay the full $1200 per Residential Camp or $600 per Day Camp, we encourage you to do so. If not, any donation amount is accepted. Your donation is fully tax deductible, and you will receive a tax receipt for your records.

OPTION 2: PAY IN FULL WITH EARLY BIRD DISCOUNT by May 31st – By selecting this option, you are agreeing to pay all camp fees up front. In exchange, you will receive the 15% Early Bird Discount. (The $20 Registration Fee is not discounted).

OPTION 3: PAYMENT PLAN A (PAY PER CAMP) – By selecting this option, you will pay the $20 Registration Fee and Required Deposit up front. Remaining fees will be due the Wednesday before camp starts. For example, if you register your child for 2 weeks of Residential Camp, you will pay $20 Registration Fee and $120 Deposit up front, and $240 on the Wednesday prior to the start date of each of the camp weeks registered (for a total of 3 payments).

OPTION 4: PAYMENT PLAN B (PAY WEEKLY) – The availability of this option depends on the date of registration as compared to the start date of selected camps. The Registration Fee for this option is $35. This payment option allows you to make weekly payments like a “Lay Away Plan” (with payments due Friday of each week) up until the start of each camp week. Amount of weekly payments will depend on number of weeks available between the payment start date and camp start as well as the number of weeks registered. The earlier you register and start making weekly payments, the more time you have to pay and the lower your payments will be.
